Job Description
The Senior Course & Conference Planner provides effective project management and meeting/event planning services for scientific courses, workshops, and meetings. This position requires interaction with internal and external scientific organizers, attendees, internal support staff, and vendors ensuring that all negotiated goals and program activities are implemented to the highest standards and in accordance with institutional policies and procedures. In addition to ownership of managing events, this position also offers mentoring for (Associate) Course and Conference Planners and is eligible for direct reports.
The Senior Course & Conference Planner is distinguished by the level of supervision required, independent judgment used, complexity of projects, proficiency in problem solving, impact of errors, wider range of experience, specialized knowledge, and proactive initiative at recognizing and executing opportunities for efficiency and impact for improvements.
Responsibilities:
Work independently to coordinate logistics for virtual, hybrid and onsite courses, workshops and conferences including registration, travel, lodging, meeting spaces, and staffing.
Provide logistic leadership and operational support for courses, workshops, and meetings at all JAX campuses and intermittently across the US and the globe.
Model, manage and administer course and workshop budgets, including monthly reconciliations, this includes management of travel for up to 300 external faculty participants per year.
Develop, edit, and order marketing collateral materials associated with educational programs, this includes significant effort using Sitecore and Adobe.
This position is eligible to have an Associate Course & Conference Planner or Course & Conference Planner as a direct report and would be expected to assist in effective mentoring and management of the direct report.
Qualifications:
Minimum requirements are a college degree (B.S./B.A.) and at least 5 years as a Meeting Planner or relevant work experience.
Ability to work independently, with minimum supervision.
Effective communicator with the ability to interface with all customers, stakeholders and event staff.
Demonstrated ability to work on multiple tasks with multiple deadlines in a fast-paced, high-pressure environment.
Demonstrated ability to lead and train others effectively. Exceptional computer skills including Microsoft Office Word, Excel, PowerPoint required. Familiarity with online registrations systems (Cvent), Project Management Software (Monday), and web editing (Sitecore) is preferred.
Ability to work extended hours, as needed.
Ability to travel as needed.
The Courses and Conferences Program is world renowned and represents a primary contact for our scientific public. In many cases the first face-on point of contact for the scientific public is through our courses and conferences and most often through the Event Planner. Event Planners are quite literally the public face of the Jackson Laboratory in many cases and thus play a critical supporting role in fulfilling our training and education mission. This includes travelling and coordinating events around the world as "ambassadors" of The Jackson Laboratory.
The Senior Course & Conference Planner has a wide degree of freedom including acting as the primary contact for course/conference organizers and is expected to use discretion in all manner of activities. They are directly responsible for coordinating and administering all aspects related to course/conference related events.
The Senior Course & Conference Planner is also responsible for training and otherwise mentoring new C&C staff (Associate Course and Conference & Course and Conference Planners) and eligible for direct reports.
