Job Description
Position Summary
The Administrative Assistant plays a key role in supporting daily operations at ENSO. This position ensures the office runs efficiently by managing administrative tasks, maintaining organization, and supporting staff, clients, and leadership. The ideal candidate is detail-oriented, dependable, and able to work independently in a fast-paced environment.
Work Environment
- Primarily indoor, temperature-controlled office
- Possible exposure to stressful or emotionally charged situations
- Occasional exposure to airborne or bloodborne pathogens
- Physical demands include extended sitting, occasional standing, walking, bending, and light lifting (up to 20 lbs.)
Key Responsibilities
Office Management
- Maintain organized office systems, files, and supplies
- Oversee office equipment and general workspace needs
Communication & Scheduling
- Answer phones, manage emails, and provide front-office support
- Schedule appointments, manage calendars, and coordinate meetings
Data Entry & Record Keeping
- Input and maintain accurate administrative, client, and financial records
- Prepare reports and handle insurance verifications and authorizations
Event & Scheduling Coordination
- Support scheduling for staff and programs
- Assist with meetings, trainings, and internal events
HR & Onboarding Support
- Assist with new hire paperwork and training coordination
- Maintain attendance and related HR documentation
Project & Administrative Support
- Prepare documents, reports, and presentations
- Assist with project coordination and tracking
Compliance & Confidentiality
- Maintain confidentiality at all times
- Ensure adherence to company policies and regulatory requirements
Policy & Safety Support
- Support policy updates, audits, and compliance measures
- Assist with health and safety protocols, including emergency procedures
Other Duties
- Perform additional tasks as assigned by the Program Director
