Job Description
SUMMARY OF POSITION: The Accounts Payable Specialist will be responsible for the preparation of all expenditures of the Tribe.
EDUCATION (OR EQUIVALENT EXPERIENCE): Associates Degree in Accounting or Business Administration with a concentration in Accounting.
LICENSES OR CERTIFICATIONS: Valid Maine state driver's license.
EXPERIENCE: Experience in use of fund accounting software programs. A minimum of three years' experience working in the accounting/accounts payable field.
SKILLSAGOWLWEDGE /ABILITIES REQUIRED: Excellent organizational and communication skills. Computer literate with an ability to learn and implement accounting software. Ability to work independently, and as part of a team. Ability to perform work accurately, and on a timely basis. Experience working with the Abila MIP Fund Accounting System preferred.
WORKING CONDITIONS: Regular office environment.
FUNCTIONS/TASKS:
- Prepare all weekly disbursement checks ensuring all required documentation is attached to the disbursement.
- Scan all weekly disbursements and email to Program Directors weekly.
- File all documents.
- Purchase all office supplies for IDC personnel.
- Reconcile all Purchase Orders to Invoices and report to CFO weekly those disbursements missing POs or Invoices.
- Prepare a weekly Accounts Payable Ageing in preparation for review by the CFO, issue payments per the approved invoices on the weekly AP Ageing report.
- Set up new approved vendors once required documentation is provided.
- Reconcile the Ageing Report to the Accounts Payable general ledger control account each month; research and analyze any amounts 90 days and over, correct and/or adjust as needed once approved by the CFO. A copy of the monthly reconciliation will be kept on the Finance drive of the main ABM server.
- Complete and submit to Aatrix the annual Federal 1099 report: issue 1099s to applicable vendors and contractors by the deadline.
- Attend periodic training to maintain current job proficiency and/or required Federal and State mandated trainings subject to available funds.
- Other duties as assigned by CFO.
EVALUATION
Feedback will be practiced on an on-going basis and the notes will be attached to your personnel file. Formal evaluations will be conducted on an annual basis, and are based on how one meets, exceeds, or fails at all of those standards specified within this position description
