Job Description:
Immediate opening for a Legal Administrative Assistant to work for a local law office in Presque Isle. Great opportunity for a highly organized individual with strong communication skills and basic administrative experience. Full-time/Days; 8:00 AM to 5:00 PM, Monday through Friday; $18.00 - $22.00/hr.
The Legal Administrative Assistant will support the office’s attorneys and other staff by performing a range of clerical duties. The employee will greet visitors, answer incoming calls, organize correspondence, prepare and proofread documents, update and organize files, and maintain a detailed calendar of appointments and project deadlines. Minimum of 2-3 years’ administrative experience required.
Responsibilities:
- Greet visitors to the office and screen potential clients.
- Answer phones, take notes and messages, coordinate appointments, and redirect calls to appropriate parties as needed.
- Keep accurate records of contact details.
- Coordinate multiple agendas and provide office staff with timely reminders to ensure that all projects are on track to meet required deadlines.
- Organize files and documents by inputting information into practice management software.
- Proofread and edit documents for grammatical, typographical, and spelling errors. Finalize and distribute to relevant parties.
- Correspond with clients, financial providers, and attorneys from other law firms in a clear and professional manner.
- Perform additional administrative tasks as needed.
Job Requirements:
- High school diploma or equivalent education required.
- Two or more years of professional experience working in an administrative role.
- Certified paralegal training or related post-secondary education strongly preferred.
- Prior experience managing real estate documentation highly valued.
- Strong proficiency with Microsoft Office, working knowledge of common office equipment, and ability to master new technology quickly.
- Strong organizational skills and good attention to detail; ability to prioritize tasks to meet multiple deadlines.
- Excellent verbal and written communication skills.
Schedule: Full-Time/Days; 8:00 AM to 5:00 PM, Monday – Friday.
Pay: $18.00 - $22.00/hr.
