Job Description
The Executive Assistant to the Senior Vice President for Advancement is the frontline representative of the Senior Vice President and lead orchestrator of the office, working closely with internal and external constituents daily. Working under minimal supervision, this position provides advanced administrative support that requires the highest level of excellence including professionalism, notable attention to detail, accuracy, consistency, flexibility and efficiency, along with an authentic customer service-minded and entrepreneurial orientation. The position requires the ability to exercise good judgement and work independently.
The Executive Assistant is responsible for the daily support of the Senior Vice President including: creating and maintaining positive professional interpersonal relationships on behalf of the Senior Vice President and Advancement department with internal constituents, including trustees, leaders, faculty, staff and key administrators and personnel; communicating directly with external constituents, including donors and prospective donors on behalf of the Senior Vice President and Advancement department; assisting in overseeing and monitoring Advancement's operations; serving as a source of leadership, expertise, information, guidance and counsel to team members; managing the Vice President's schedule; and handling complex confidential data in a timely manner.
Ideal candidate will be able to work Hybrid/Remote to our Farmington, CT office.
Key Responsibilities & Essential Functions
Provides advanced administrative support for the Senior Vice President including coordination of the Senior Vice President's schedule; arranging travel plans and managing expense reimbursement; Oversee office operations.
Support and coordinate proposals for presentation to internal partners and external donors. Proactively and reactively draft, edit and prepare various types of written correspondence and PowerPoint presentations for the SVP; and anticipate and respond to requests made of the SVP.
Act as the liaison for the Senior Vice President by communicating with internal and external constituents on his or her behalf; Respond to visitors and campus colleagues and act as the spoke's person of the SVP in the SVP's absence.
Provide support to the SVP for donor portfolio management, inclusive of but not limited to entering donor meetings notes into the donor database, updating relevant information for annual solicitation plans in the donor database and helping to ensure that the SVP meets key solicitation plan deadlines.
Review and audit donor database entries for Advancement to ensure accuracy and timeliness and production of reports.
Create and maintain positive professional interpersonal relationships on the SVP's behalf and the Advancement department within JAX with internal constituents, including trustees, leaders, faculty, staff and key administrators and personnel.
Communicate with donors and prospective donors with highest level of polished professionalism, excellence and service.
Serve as a source of leadership, expertise, information, guidance and counsel to team members; work with SMT EAs to ensure Advancement is aligned with SMT.
Knowledge, Skills, and Abilities
Bachelor's degree with 4 years of experience required, with a master's degree preferred, or 12 years' experience with High School Diploma.
Outstanding writing and editing skills.
A high level of proficiency with technology and presentations, including Outlook, Word, Excel, PowerPoint, and CRM software, as well as document and report preparation is essential.
Pay Range: $56,576 - $97,249
