Job Description

Reporting directly to the Vice President, this position provides support in a one-on-one working relationship and is the primary point of contact for internal and external matters pertaining to the responsibilities of the Vice President. This position also serves as a liaison, organizing and coordinating outreach and relations efforts on the day-to-day as well as overseeing special projects. The Executive Support Professional must be creative and enjoy working within a fast-paced team environment that is mission-and results-driven.

The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong organizational, written, and verbal communication skills. This role requires someone to work both in a team environment as well as independently on projects, from conception to completion, and must be able to work under pressure at times while prioritizing a wide variety of activities and confidential matters with discretion.

Job Responsibilities
Compose and prepare correspondence that is sometimes confidential
Arrange complex and detailed information for presentation
Interact daily with all levels of the organization to support our team member's needs
Coordinate charitable giving programs by receiving, reviewing, and researching requests
Build and maintain external affairs contact databases including local, state, and federal officials; and other political, regulatory, community, and trade/industry associations
Coordinate and track various projects including the Company's internal scholarship program, Service/Recognition Awards
Manages an extremely active calendar of appointments, travel, and meeting arrangements
Communicates directly, and on behalf of the Vice President, with Board Members, Senior Management, and Vice President's direct reports
Researches, prioritizes, and follows up on incoming issues and concerns addressed to the Vice President, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response
Provides leadership to build relationships crucial to the success of the organization, and manages a variety of special projects for the Vice President
Prioritizes conflicting needs; addresses items expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures
Works collaboratively with others to successfully advance and complete projects
Provides general office administrative support, phone, email, proof communications, and prepare reports, memos, letters, spreadsheets, presentation materials, and other documents as necessary
Qualifications
Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, and external partners
Must possess highly proficient written and verbal communication skills
Forward-thinking and proactive in approaching solutions to problems
Sound decision-making capability
Emotional intelligence and maturity
Highly resourceful team player, with the ability to also be extremely effective independently
Excellent customer service
Demonstrated ability to achieve high-performance goals and meet deadlines in a fast-paced and changing environment

Education and Experience Requirements
Strong work tenure with a minimum of five years of experience in an office environment preferably supporting executives or a combination of education and work experience
Possessing experience with human resources such as an HR Generalist would be beneficial
Proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint), Adobe Acrobat, and Social Media web platforms
Must have a proven work history that exhibits a high level of confidentiality, courtesy, tact, and efficiency when dealing with others
