Financial Services is seeking an Accounts Payable Specialist I/II to provide clerical/administrative support to the Accounts Payable area with major responsibilities including invoice preparation for data entry, reviewing source documents for authorization, completeness and accuracy and entering invoice information into the financial system.
Standard hours for this role will be 7:30 - 4:00, Monday - Friday. This role is currently working from home but will require ability to work on site once restrictions have been lifted.
Perform verification and reconciliation activities for travel and expense reports, vendor statements, and corporate credit cards. Working with the Manager AP, provides training to travelers and administrative staff to ensure compliance with the JAX travel policy.
Prepare and enter into Lawson purchase order and non-purchase order invoices for data entry for BH, CA, and CT. Reviews source documents for authorization, completeness and accuracy.
Post journal entries and manual checks, voids checks, processes redistribution requests, maintains vendor files; prepares spreadsheets and other ad hoc reports.
Interacts with vendors, department personnel, account representatives or other appropriate personnel regularly to resolve problems, keep all parties informed and to serve as a reference resource; composes correspondence pertaining to assignment.
Work schedule is subject to change based on operational demands, expectations are that work will be performed when assigned and to be consistently punctual.
High School equivalency with at least 2-3 years of experience working in an office environment in which at least 2 years of office experience was in a financial environment or an Associate's degree in Business of related subject with at least 1 year of related experience.
Effective interpersonal relations skills sufficient to effectively work with a wide variety of people and personalities representing both internal customers and external suppliers. Must be able to present oneself in a positive manner through appearance, attitude and behavior.
Excellent organizational skills and demonstrated ability to manage details, gather data, compile information, and prepare reports.
Proficient skill level to perform data entry with a high degree of accuracy in a fast paced work environment
Strong communication skills to effectively communicate with others verbally and in writing.
Must have the ability to operate computer hardware/software applications that would normally be encountered in a business setting.
Ability to organize time effectively and work under time constraints, meet deadlines and prioritize work.
