Manager, Research Administrative Support Services

The Manager, Research Administrative Support Services (RASS), plays a critical role in furthering the research objectives of the Jackson Laboratory as a whole, and that of individual faculty members, through the effective leadership of the RASS team. The incumbent must be able to adapt individually, and lead the team to adapt, to changes in needs for support as new scientists are hired, priorities change or processes change. The Manager will facilitate vital support for the administration of science at JAX to allow investigators more time to pursue scientific goals.

Working under limited supervision, this position is responsible for supervising a staff of administrative professionals; and providing advanced administrative support to programs of the Office of the Scientific Director. This individual, who serves as the team leader to the RASS group, oversees all aspects of administrative support provided to the Faculty and their research centers and programs, coordinating workflow, scheduling, and training. Additionally, this position provides direct administrative support to initiatives of the Scientific Director's office.

 

The incumbent manages the groups of Research Administrative Assistants (RAA) and Administrators for Research Programs (ARP), supervising a staff of administrative professionals supporting both individual faculty needs and research programs and centers. Specific responsibilities include workflow management and assignment coordination, performance management, goal setting, staff training, coaching, and conflict resolution, budget management, and procedures documentation. The manager develops and maintains departmental SOPs; serves as liaison to the Faculty to ascertain administrative requirements and to ensure those needs are met; provides backup support for faculty as needed, performing all duties of RASS staff; and acts as a liaison between the RASS staff and the Office of Sponsored Research Administration, Information Technology, Human Resources and other administrative areas of the institution. This position serves as the institutional contact for RASS on the Bar Harbor campus representing the team on institutional committees and implementation teams.

Additional duties include:

Providing advanced administrative support for initiatives of the Office of the Scientific Director as requested, such as the seminar program (schedules speakers, arranges travel, publicizes events, etc.), and the Faculty Recruitment program; providing administrative support to emeritus faculty; and acting as backup to the Assistant to the Scientific Director.

Working closely with the Office of Sponsored Research Administration to ensure RASS team is informed and trained in new procedures and policies related to NIH and other grant agencies. Similarly, working closely with Fiscal Services, Human Resources and other internal departments to ensure RASS team stays abreast of organizational policies and requirements.

Maintaining proficiency with key software applications to provide general software support to other Research Administrative staff, Scientific Staff and associated laboratory personnel. Key software applications include, but are not limited to: Outlook, Word, Excel, Powerpoint, EndNote, Concur, Workday, Sharepoint. This requires the ability to self-teach these programs in a short period of time, providing assistance with new software programsad working closely with Information Technology department, acting as a liaison between the RASS team, Faculty and IT support technicians.

Minimum qualifications:

Knowledge of administrative systems and processes as would normally be acquired through five (5) years of work in a position in which administrative duties were the major responsibilities, or a Bachelors degree in Business or closely related discipline and five years of professional office experience. A familiarity with basic science is preferred but not required.

Knowledge of supervisory processes and techniques of leadership as would normally be acquired through three years of direct supervision of a team of 5-10 administrative professionals.

Demonstrated ability to lead and work in a fast-paced team environment while consistently maintaining a positive and professional demeanor and maintaining a professional work environment.

Advanced interpersonal skills sufficient for developing complex, dynamic relationship with a diverse variety of individuals representing a broad cross section of cultures, disciplines and levels of sophistications.

Demonstrated experience in transforming teams through process improvement, performance management, realignment and hiring to achieve higher performance levels.
