Job Description

The Payroll Specialist supports the implementation, testing, configuration, maintenance, and upgrades of information technology projects that impact the payroll office at The Jackson Laboratory. This includes Workday HCM (payroll and time tracking) systems, as well as new self-service applications and working with ADP our outsourced payroll tax service provider.


Primary focus of this position includes customer service and payroll production support. Assists with conducting system tests when new Workday functionality is delivered, which can be during weekly system updates, or biannually during the Workday scheduled updates. Provide end-user technical support, develop and conduct training for Payroll, as well as documenting new and existing processes. Assists IT, HRIS, Accounting and other departments with payroll requests as needed.


Key Responsibilities:


Workday Time Tracking Support and Payroll Customer Support:

Assist timekeepers, managers and employees when it comes to entering, submitting and approving time.

Review the following reports and contact users with corrective actions needed; Historical Time Block Audit, Reported Time Blocks, Time Block Audit, Unmatched Time Clock Events and Worker with No Time Entry reports.

As directed by the payroll supervisor or payroll manager, assist in reviewing payroll reports as assigned; new hires, terminations and other variance reports.

Answer payroll questions relating to the calculation of time, proration of salary, pre and post-tax deductions, and the withholding of applicable payroll taxes.

Work in partnership with Project Lead for payroll and time tracking related test cases and scenarios that are assigned and are being tested as defined.

Provide training, guidance, and assistance to end users to ensure they understand their role and requirements and required time tracking reports that must be reviewed.

Ensure compliance with IT security protocols and maintain secure and proper storage to safeguard sensitive data and files.

Develop training procedures and associated materials for managerial review; working in partnership with Project Leads, conduct training and/or assign to others on team, as appropriate.


Documentation of Existing and New System Functionality

Gather, assess, and document user requirements to understand current tasks and system functional needs and wants.

Review, organize, summarize, and distribute upgrade materials to designated Project Lead.

Develop and maintain a system to track and monitor testing phases (update, follow-up, escalation of issues) and document changes to procedures caused by system changes.


Customer Support and Payroll Website Maintenance:

Provide customer support regarding check replacements, self-service, and website usage. This includes assessing customer inquiries and responding as appropriate. Some situations may require escalation and/or referrals to other payroll staff or managers.

Provide front desk coverage as needed (answer phone, distribute mail, etc.)


Additional Support:

Support Payroll staff with process and procedural issues/questions, related to on demands, manuals, and reversals, as well any and all production associated issues.

Enter payroll data via payroll input.

Validate retro pay activity worksheets.

Actively participate on a variety of IT and/or payroll projects as assigned by supervisor.

Review periodic payroll analytical reports that are used to validate the accuracy of the payrolls.



Associates degree in a business-related discipline required.

2 - 4 years of payroll and or related accounting experience in an office environment is required.

Strong PC skills including demonstrated experience with standard office productivity tools (Microsoft Office) and Workday experience as well as ability to learn new technical skills & technologies.

Must possess well-developed analytical, critical thinking, troubleshooting, and problem-solving skills.

Ability to work independently on materials and draw conclusions from analysis, and act as the guide to management in assessing outcomes.

Experience in software testing, tools, and utilities, and performing quality assurance methodologies.

Ability to prepare written training materials, documentation, FAQs, various how-to's, etc. is required.

Strong customer service orientation, with the ability to respond quickly within teams and independently in a deadline-driven environment.
