The University of Maine Farmington is seeking applicants for the position of Administrative Specialist, Career Level 2, for The Learning Assistance Center. Reporting to the Director of the Learning Assistance Center, this is a full-time, year-round position.

The Administrative Specialist CL2 performs administrative and clerical work which requires extensive procedural knowledge and organizational skills. Work involves considerable internal and external contacts as well as handling verbal and written communications for a broad range of questions. The ability to work as part of a team is essential, as are providing exemplary customer service, maintaining confidentiality, the ability to manage multiple tasks and to prioritize, and the ability to work in a diverse environment with many interruptions. Judgment and initiative are frequently exercised and work is typically performed under general rather than specific instruction.

Essential Duties:

+ Present as a welcoming first point of contact to community members, students, staff, and faculty

+ Field multiple phone calls and emails

+ Proctor quizzes/exams for students with disabilities

+ Implement policies and procedures required for test administration

+ Schedule appointments

+ Monitor student Learning Assistance Center registrations

+ Collect and maintain confidential records

+ Prepare Accommodation Letters

+ Maintain course placement data

+ Assist in arranging notetakers and Work Authorization completion

+ Maintain databases for disability accommodations as needed

+ Process payments for ongoing charges

+ Update Placement Testing/Review List with new students

+ Pull transcripts for placement

+ Supervise student employees

+ Update Part-time faculty contract paperwork

Qualifications:

Required:

+ High school diploma or equivalent (G.E.D.) and sufficient experience, including two years of administrative support experience

+ Demonstrated computer proficiency

+ Managing multiple tasks, prioritizing and assigning work

+ Ability to use English grammar, punctuation, and spelling effectively

+ Customer service experiencePreferred:

+ Skills in the management of computerized testing systems

+ Maintaining confidential records and files
