Job Description

The Highlands of Topsham is looking for a positive and dependable receptionist who has a passion for caring for the needs of our Senior population. If you are compassionate and find working in this field rewarding, then consider joining our Resident Services team.

Summary of Duties

Provide clerical support; organize and maintain files. Answer telephones, greet guests, respond to residents’ requests, and assist in coordination of services to residents, families, and guests.

Essential Functions

  • Answer incoming telephone calls promptly, taking complete and accurate messages, route calls and locate residents when necessary.
  • Receive visitors, having them sign registers and route them as appropriate
  • Coordinate transportation for resident appointments and events.
  • Maintain the mailboxes, including an up-to-date listing, assignment for new residents, names on boxes and returning mail to post office for move-outs.
  • Maintain the lobby and reception area.
  • Provide administrative support including typing, filing, preparation of reports, copying, scheduling appointments, calling vendors, data entry.
  • Enter work orders received from residents and staff.
  • Resolve immediately or report to the Resident Services Director and/or Executive Director any unsafe conditions including building hazards, unsafe work practices or threats to resident safety.
  • Perform other related duties as assigned by supervisor

Non-Essential Functions

  • Support and participate in resident-centered activity programs
  • Participate in projects or committees as assigned
