Job Description

Diversified Communications is seeking a Human Resources Administrator to join our growing company. The HR Administrator provides overall administrative support to the Human Resources Department by assisting with recruitment, onboarding and offboarding tasks, HRIS Administration and optimization, Benefit program administration, recordkeeping and retention, compliance, and other HR program administration.

As the HR Administrator your typical day will be filled with a variety of administrative priorities, customer service, and project work that supports the Portland & Corporate HR Team.

As the HR Administrator, you will:

  • Assist department in administrative aspects of recruitment efforts, maintaining hiring metrics, recordkeeping, and assisting with screening/scheduling applicants for job openings, and checking references.
  • Responsible for scheduling, coordinating, and conducting all aspects of New Hire Orientation/Onboarding programs and tasks, Offboarding paperwork preparation, and all administrative tasks related.
  • Responsible for timely maintenance and accurate updates of all employee information in HRIS, regular reporting updates, and will act as first point of contact for all employee/manager frequently asked questions regarding HRIS.
  • Act as employee resource for general benefit/program questions, enrollment-related resource and assistance, eligibility/incentive file assistance, payroll related questions, vendor portal data entry administration.
  • Assist department in administrative aspects of compliance, VOE, record retention/maintenance, performance management reporting, policy updates, etc.
  • Assistance with planning and executing a robust variety of HR programs (Discount Program, Recognition & Service Awards, Charitable Giving programs, Employee Activity events, Training programs) and special events (Day of Caring, Holiday Party, Town Meetings, Open Enrollment, Wellness events/classes, Job Shadow Day) that may include meal coordination, logistics, scheduling, communication, and other organization-wide events/meetings.
  • Regularly update and post HR updates to social media pages, career pages, and other online resources (internal/external) to promote announcements and HR marketing efforts.
  • Responsible for assisting with administration aspects of our Wellness program including, but not limited to, Wellness Portal administration, assisting in program design, annual reporting, and class scheduling.
  • Collaborate, support, and actively participate in DEI committee efforts and initiatives.
  • Will provide additional support to other offices, as needed.
  • Provides general administrative support for the team as requested, as well as any other responsibilities that are as assigned.

The ideal candidate thrives in a busy team environment who enjoys supporting a team, as well as their customers (our employees!).  This person should have administrative strength managing multiple priorities, a customer service mindset that will represent and support an effective and efficient department. Excellent and proactive organizational skills required, with a process-improvement mindset. Exceptional technical skills a must (MS Office proficiency, especially Excel), HRIS (UltiPro) experience a plus! Proficiency with social media/mobile recruiting, company branding, and messaging/communication preferred.
