Spectrum provides services at many of Maine’s hospitals throughout the state and in eastern New Hampshire. POSITION SUMMARYActs as a liaison between patients and the Clinical Areas by facilitating communication with physicians, mid-level practitioners, and other clinical staff. Interactively coordinates procedure schedules, performing designated clinic functions, and providing general clerical support. Hours: M-F, 2-3 days per week as needed. ESSENTIAL FUNCTIONS1. Coordinates and schedules procedures per physician order2. Coordinates, assists and gathers all information needed for the procedure and ensures that pre-procedural preparation is complete3. Maintains smooth patient flow by scheduling pre and post-procedure appointments and updating all cancellations and add-ons4. Prepares informational packets for office visits 5. Triages telephone calls from patients by obtaining a detailed history of the problem and determining the most appropriate action6. Maintains Providers calendars and schedules7. Completes disability claim forms8. Supports other staff with clerical/clinical duties as needed during staffing shortages or other designated periods of high volume within the department as time allows. 9. Forwards payment policy or insurance questions to the appropriate person10. Performs chart checks for missing information PRIMARY DUTIES & RESPONSIBILITIES? Communicates effectively with patients, families, providers, staff and others? Provides coverage throughout clinic areas when needed? Attends meetings, as assigned, and participate in educational activities to keep skills up to date? Works on special projects as requested? Demonstrates professionalism at all times? Is proactive in identifying, reporting and participating in the resolution of any potential or actual patient safety issues? Performs other duties necessary to maintain the overall efficiency and continuity of the clinic QUALIFICATIONS? High School diploma or equivalent? Knowledge of medical terminology? Experience in a hospital or medical office setting with scheduling experience helpful? Strong customer service skills, with pleasant/professional telephone voice? Excellent communication and interpersonal skills? Excellent organizational skills and attention to detail? Ability to work independently and as a member of a team? Proficient computer skills? Ability to maintain confidentiality PHYSICAL DEMANDS / WORK ENVIRONMENT? Daily use of computer operating instruments; stationary PC, Laptop PC, keyboard and mouse ? Light lifting of paperwork, folders or other general record-keeping materials ? Operation of various office equipment: fax machine, telephone & voice mail system, stationary/laptop computer, email system, scanner, and copier ? Lifting up to 20 pounds occasionally, and/or up to 10 pounds frequently? Walks frequently? May be required to sit or stand for extended periods of time?
