Spectrum Generations is one Maine's five federally designated Area Agencies on Aging. As the local AAA for Central Maine, the agency serves as a primary resource for information, guidance, and education for older and disabled adults. This position is located at the Muskie Center in Waterville.
The Program Assistant provides administrative and clerical support to Bridges Home Services and acts as a point of contact for Bridge’s consumers and direct care staff and provides oversight of consumer charts. It is also a point of contact for Bridges Emergency Response Unit vendor, providing marketing materials, fielding phone calls from potential customers, performing data entry and reconciling invoices each month.
It supports Bridges Regional Coordinators to ensure consumer visits are claimed/unclaimed for billing to pay sources and work with the Finance Department with any documentation needed for mid-month and month-end billing cycles. The Program Assistant will develop and maintain a monitoring schedule for active and archived consumer charts and work with the Regional Coordinators to ensure they contain all appropriate documentation. In addition, they will assist the Director in the completion of monthly operating metrics using Microsoft Excel platform.
Additional duties include assisting Human Resources with orientation and payroll and creating correspondence to staff, consumers, regulatory agencies and vendors as required.
The ideal candidate will become well versed in Maine Department of Human Services and Department of Veteran Affairs regulations as they apply to the Bridges Personal Support Services and private pay contracts. They will also be able to work with the scheduling platform used by Bridges Home Services and create consumer related tasks when required.
