Job Description:

This is an office and administrative support position for the Bureau of Maintenance and Operations, located at MaineDOT’s Headquarters in Augusta. This employee will be responsible for making independent decisions and carrying out a wide variety of complex clerical work in accordance with established processes and procedures. This person shall have the ability to identify the accuracy and completeness of the information that is presented for processing, identify additional items that may be necessary, and take steps to address those items. This position is responsible for the verification and prompt payment of salt invoices and journals, which represent between 4,000 to 5,000 loads of salt and between $7-9 million in payments throughout the entire year. This position also provides essential support for M&O Contracts, approximately 2-days a week, ensuring that contract documents are appropriately scanned and linked into the Department’s systems of authority to support contract enforcement, payment, audit and close-out procedures. Training for Adobe Creative Suite will also be provided to enable this position to continue to provide ongoing support for the Bureau’s work plan management and annual scheduling tool, the “M&O Calendar”. This position will serve as backup for the Departments Official Business Directional Sign program, issuing permits as well as receiving and processing payments. Finally, this position will involve routine customer service by answering the Bureau’s main telephone lines and providing backup and support for the Bureau’s clerical group.

To be minimally qualified for this position candidates must provide evidence of the following experience:

Training, education, or experience in office and administrative support work that demonstrates 1) competency in applying a solid knowledge of modern office practices to perform complex, varied office support tasks, and 2) the ability to use independent decision-making on the appropriate processes to follow, information to process, and actions to take in accordance with standard procedures. All positions in this classification assume the qualifications of: Office Assistant I, Office Assistant II, and Office Associate I.
