The Office for Family Independence (OFI) is responsible for administration of a number of programs and services, including MaineCare, Temporary Assistance for Needy Families (TANF), Supplemental Nutrition Assistance Program, Child Support, and Disability Determinations.
Position is located in Portland
As an Office Associate II Supervisor, you will provide support to the eligibility staff, supervisors, and the Program Administrator, while performing a variety of supervisory and administrative tasks. Some of your additional support duties will include typing, filing, making copies, answering telephones and a variety of other clerical duties as needed. This position works collaboratively with other administrative positions within the Portland office to provide support for all of OFI. These duties may include:
+ Scheduling the clerical staff and their duties,
+ Attend all weekly manager meetings,
+ Coordinate with document imaging team,
+ Use computer applications (Fortis and Siebel)
+ Faxing, scanning and indexing documents,
+ Assisting with lobby and mailroom duties as a back-up for Regional Operations staff,
+ Other miscellaneous administrative duties as assigned.
In order to qualify, you must have training, education, or experience in office and administrative support work that demonstrates 1) competency in applying a solid knowledge of modern office practices to perform complex, varied office support tasks, 2) the ability to use independent decision-making on the appropriate processes to follow, information to process, and actions to take in accordance with standard procedures.
The background of well-qualified candidates will demonstrate the following competencies:
+ Prior related supervisory experience.
+ Skilled in the use of Excel, Outlook, Microsoft Word and other office technology/equipment.
+ Strong customer service skills
+ Ability to prioritize and multi-task in a fast-paced environment
+ Excellent organizational skills
