Spectrum Healthcare Partners is Maine’s largest multi-specialty, physician-owned and directed professional organization and is comprised of over 200 physicians practicing in the areas of anesthesiology, orthopedics, pain management, pathology, radiation oncology, radiology, and vascular & interventional services. Spectrum provides services at many of Maine’s hospitals throughout the state and in eastern New Hampshire. POSITION SUMMARY Acts as a liaison between patients, referring offices, and the clinical areas by facilitating and scheduling accurate and timely appointments while providing general clerical support. Hours: Mon-Fri 8:00 am – 4:30 pm ESSENTIAL FUNCTIONS 1. Manages telephone calls from referring offices, as well as new or existing patients, determining the most appropriate appointments while utilizing scheduling resources. 2. Obtains and collects accurate patient information. 3. Coordinates patients for surgery and necessary pre-surgical appointments. 4. Processes appointments via a fax referral system. 5. Process insurance prior authorization and document. 6. Accurately enter information into the electronic record. PRIMARY RESPONSIBILITIES

+ Maintains open communication by updating staff of appointment changes.

+ Attend meetings, as assigned, and participate in educational activities to keep skills up-to-date.

+ Demonstrate professionalism at all times.

+ Displays cooperative behavior and interacts positively and effectively with others to promote a team environment. ? Performs other duties necessary to maintain the overall efficiency and continuity of the clinic.

+ Is proactive in identifying, reporting, and participating in the resolution of any potential or actual patient safety issue.


+ High School diploma or equivalent

+ Excellent organizational skills with the ability to accomplish multiple tasks and have the flexibility to meet changing demands on a daily basis

+ Strong customer service skills, with pleasant/professional telephone voice

+ Excellent communication and interpersonal skills ? Proficient computer skills ? Ability to maintain confidentiality


+ Operation of various office equipment; fax machine, telephone & voice mail system, stationary/laptop computer, scanner, e-mail system, cell phone, pager, and copier

+ Light lifting of paperwork, folders or other general record-keeping materials

+ Lifting of mail bins and boxes up to 50 lbs.

+ Light travel to various sites of service

+ May be required to sit or stand for extended periods of time
