We're looking for a Marketing Operations Specialist excited about inspiring meaningful connections among people, plants, and nature in one of the most beautiful settings in Maine. The Marketing Operations Specialist is integral in project managing the on-time execution and delivery of marketing communications. In service to the overall Gardens’ mission, this role will work within a fast-paced and creative team to coordinate on-brand creative assets and collaterals.

Full-time, hourly, non-exempt

$21.00 - 26.00 per hour

This is a year-round, benefits-eligible position.

Some night and weekend work is required for special events and during Gardens Aglow.

Essential Functions: (This job requires the performance of the following tasks, with or without accommodation. Incumbents may be required to assume additional responsibilities or perform additional tasks.)

  • With support from the Marketing Director, prioritize org-wide marketing projects, ensuring key stakeholders are included in appropriate proofing cycles and updated on key benchmarks in a clear and concise manner. 
  • Perform the role of administrator for our project management tool, Airtable, ensuring project status’ are updated and final content and invoices are uploaded.  
  • Develop and implement process and procedural changes to improve operational efficiency. 
  • Support processes for getting content on strategic topics from stakeholders. 
  • Maintain relationships with print, design, and written content vendors, ensuring projects are correctly communicated, completed on budget, and within agreed timelines. 
  • Collate and organize data from various platforms to inform KPI reporting. 
  • With creative guidance of the Marketing Manager, support the deployment of email campaigns; coordinating lists, collating copy, and updating visual assets. 
  • Adhere to Coastal Maine Botanical Gardens graphic/writing standards and all project parameters. 
  • Assist with other projects as needed and participate in Gardens-wide initiatives, including Gardens Aglow assignments.
