Job Description:

This position will provide administrative support for MaineDOT executives, specifically the Chief Engineer and the Chief Operating Officer, providing advanced and confidential support. Responsibilities encompass serving as the professional first point of contact for executives, legislators, Governor’s staff, policymakers, professionals, and the public. This role involves discreetly assessing the risk potential and time sensitivity of matters, anticipating responses, and coordinating with the appropriate MaineDOT staff. Additionally, the position supports strategic initiatives, troubleshoots complex administrative challenges, and manages calendars and appointments. It includes the preparation of correspondence, reports, and documents, as well as the submission of invoices for payment. The role also involves making travel arrangements, preparing expense vouchers, reviewing and distributing communications, ensuring timely responses, attending meetings, taking minutes, creating reports, and disseminating information. Furthermore, the position covers for the Assistant to the Commissioner and front reception when necessary, and handles any other support duties as requested.

To be minimally qualified for this position candidates must provide evidence of the following experience:

(Entry level knowledges, skills, and/or abilities may be acquired through, BUT ARE NOT LIMITED TO the following coursework/training and/or experience.)

Training, education, or experience in office and administrative support work that demonstrates 1) competency in applying a proficient knowledge of the principles and practices of office processes and administrative functions to perform advanced secretarial tasks in assisting management with statewide programs and polices, and 2) the ability to use independent judgment, initiative, and decision-making on complex administrative matters. All positions in this classification assume the qualifications of: Secretary and Secretary Associate.
