Responsibilities:

  • Provides requirements related support to PMO and Account Management staff throughout post-implementation warranty period and into operations.
  • Responsible for understanding requirements and deliverables of the contract and serving as a key staff responsible for working with Account Management to ensure these are met in a timely manner.
  • Establishing and maintaining tracking mechanisms to ensure requirement related deliverables are satisfied accordingly.
  • Accurately document discoveries of all issues within one calendar day of discovery.
  • Ensure timely delivery of written root cause analysis (RCA) document within five (5) calendar days of the discovery of a system or business process deficiency. The RCA must be continually updated until the deficiency is completely resolved.
  • Ensure updates to all manuals, including but not limited to provider manuals, internal procedure manuals, and operating procedures manuals, occurs at a minimum every six (6) months.
  • Review training curriculum and materials for PBM processes semi-annually (every 6 calendar months).
  • Ensure completion of security compliance testing occurs quarterly and report the results of the testing and any recommended remediation ten (10) days after the end of the calendar quarter.
  • Acts as point of contact for the Account Management team throughout post-implementation warranty period and into operations.
  • Manages the Change Management Process enterprise wide.
  • Coordinates P&T or other Committee activities including tracking status of documentation, gathers and prints materials, assembles and ships materials, brings required reports (e.g. cost sheets, PDL compliance reports and generic percent reports to the P&T meeting), facilitates the P&T meeting, and prepares drafts of the minutes and circulates for review.
  • Responsible for completion of finalized minutes and posting or sending of these and other documents as needed.
  • Ensure any decisions that impact the scope of the requirements are accurately documented, amended, and adhered to throughout post implementation.
  • May be responsible to assist with newsletter or other complex document design/layout.
  • Depending on the client specific requirements, may be responsible for meetings logistics, such as location, food service for Committee members, travel, or payment voucher management for Committee members, room setup, etc.
  • Ensures that Account Management has reviewed all required reports, client deliverables, and meeting minutes from client meetings and uploads them on Egnyte.
  • Provides support to staff and members on special projects from the standpoint of training, support, and documentation development.
  • Works with Account Manager to complete the following:
  • Maintains deliverables for the timely submission of reporting, training material, and business processes as they relate to contract requirements.
  • Coordinate with counterparts at the State and other trading partners to ensure technical requirements are continuously satisfied post implementation.
  • Ensure annual completion of Security and Compliance testing.
  • Communicating relevant information to all team members, such as change in schedule dates, changes in the project’s requirements, unexpected hitches etc.
  • Coordinating activities with vendors and suppliers and maintaining relationships with them.
  • Assisting the Account manager/project manager in various activities such as budget monitoring and in meetings with the client.
  • Prepares a billing summary of what activities occurred for the month that are submitted to Accounts Receivable and the state.
  • Supports the administrative processes surrounding the Therapeutic Class Review and New Drug Review documents including assisting with formatting, scheduling and distribution.
  • Assist with management of the invoicing process for the pharmacists contracted to assist with Therapeutic Class Review and New Drug review development including tracking of costs and preparation and submission of invoices for payment.
  • Supports the Clinical team reference material by helping to organize and manage invoicing for products used by the clinical team, including Micromedex, Up-to-date, Medical Letter, Spellex, and other products.
  • Develops and maintains DLP processes for OAC department.
  • Contributes to PMO by building processes and protocols for the team’s benefit.
  • Provides team leadership and is considered a consultative professional within the organization, interfacing with analyst team, management, and client.
  • Manages Egnyte for the company and oversees administrative control.
  • Acts as trusted partner to key constituencies by learning their business to anticipate stakeholder needs and concerns.
  • Ensures client satisfaction, quality of work, and project profitability.
  • Identifies and resolves root cause issues, finding positive solutions to problems.
  • Facilitates team information and workflow.
  • Facilitates meetings with internal and external clients including regular client meetings and takes minutes and tracks action items.
  • Presents issues to Account Manager Senior Director and Regional Pharmacy Managers and negotiates with management to resolve resource conflicts.
  • Travel may be required.

Skills:

  • Highly detail-oriented with ability to prioritize tasks independently, accurately complete work under tight deadlines and provide timely and accurate responses to data requests.
  • Possesses excellent communication (verbal/written) skills – ability to tailor communications to different audiences – execs, business sponsors, developers, customers, partners, etc.
  • Able to coordinate multiple accounts simultaneously.
  • Builds relationships with existing clients.
  • Acts as trusted partner to key constituencies by learning their business to anticipate stakeholder needs and concerns.
  • Ensures client satisfaction, quality of work, and project profitability.

Qualifications:

  • 1+ years of admin experience required.
  • 1+ years of healthcare experience required.
  • Experience working with multi-discipline teams required.
  • Intermediate to advanced proficiency in MS Office Suite required.
